We are looking for a Client Experience Manager who radiates warmth and friendliness and embodies all our values. This is an extremely important position to us. You are the first contact for anyone who calls or comes in to see us. You set the tone for all client interactions, and for all staff during their work day. Infinity Physio Centre is a multidisciplinary clinic in the bustling mountain town of Rossland, BC. We are a team of physiotherapists and massage therapists who are passionate about providing excellent individualised care, continuously learning and staying active ourselves! Our mission is to keep our community members active, doing the things they love. We provide services such as: individualized assessment and treatment, acupuncture, IMS, cupping therapy, custom knee bracing, concussion rehabilitation, vestibular rehabilitation, sports massage, deep tissue massage and prenatal massage. Services are delivered in a culture of compassion, excellence, innovation and fun. 

You embody:


  • Superb customer service skills (on phone and in person)

  • Strong ability to establish positive, friendly relationships with clients, families, therapists and physicians

  • Excellent organizational skills and ability to manage multiple priorities

  • Great ability to be flexible, and work well independently and with a team

  • Ability to maintain a positive attitude in an environment that can be stressful at times

  • Strong ability to maintain privacy and confidentiality

  • Strong time management with proven ability to handle multiple projects with tight deadlines

  • Strong multitasking, organizational and office administration skills

  • Strong ability to lead others and delegate tasks

  • Proficient in using MS Word and Excel, and able to learn new software independently

  • Must be comfortable working with people of all abilities

  • Experience in a similar role, as well as customer service experience is an asset

  • Highly proficient in speaking, reading and writing in English

You are proficient in:


  • Greeting clients, families and clinic guests

  • Appointment scheduling

  • Preparing first visit documents and files

  • Clinic and office organization and cleanliness

  • Ordering and maintaining inventory of office and therapy supplies and products

  • Accepting and documenting payment for therapy services

  • Ensuring therapy rooms are ready for client visits

  • Issuing communication and correspondence to clients and community partners

  • Prompt follow up with clients regarding no-shows or outstanding accounts

  • Support the team in the delivery of exceptional client service

  • Managing workflow - reviewing jobs that are due each month, following up on status of jobs, making sure all deadlines are met.

  • Managing front desk scheduling and shift coordination

  • Typing, proofreading, formatting, photocopying and assembling documents to support therapists

  • Administrative support for meetings (e.g. minute taking)

  • Support the management of social media, communications and website

  • Develop and distribute emailed newsletters to clients and partners

  • Regularly check office and therapy equipment to ensure proper maintenance

  • Support business related tasks

  • Assisting in the overall goal of growing the practice through customer service, marketing and administration

  • Marketing event planning

  • Other projects as assigned, and delegation of tasks as needed
